Assistant Athletic Director

GENERAL DESCRIPTION: 

The Assistant Athletic Director, under the supervision of the Principal and Athletic Director, is responsible for aiding in the day-to-day operations of the Athletics department, including the management of all sports teams and student academic eligibility. The Assistant AD will foster the mission and vision of the school, working to utilize Athletics as a key element to educate and develop the students of Seton Catholic Prep.  The Assistant AD will participate in efforts to promote the school and its athletics teams in the general community. The Assistant AD will also perform other job-related duties as assigned, and will abide by all standard policies of the Diocese of Phoenix.

 

Duties of the Job

  • Assist the Athletic Director in the year-round operations of the Athletics Department. This includes, but is not limited to the organization and administrative management of on-campus athletic events as well as logistical tasks for off-campus events.
  • Manage game day operations for all sports. Demonstrate expertise in running all aspects of game operations; including scoreboard operation, maintaining scorebooks, facility set-up, tear down, game introductions, music, national anthem, and facility closure.
  • Work with teams to secure game day volunteers for all on campus athletic events. Establish working relationships w/ other staff members to encourage involvement and support of athletics, e.g., supervise red zone, attendance at games, etc.
  • Support and enforce locker room safety procedures.
  • Responsible for keeping facilities clean / operational / and prepared for practices and game settings.
  • Manage the athletic department equipment rooms. This includes yearly inventory of all athletic uniforms and equipment, communicating with the athletic director on needed replacements and repairs, maintaining a database of uniform rotation for all sports teams, soliciting purchasing needs from coaches to identify future needs, and maintaining clean and safe environments in equipment rooms and mobile storage units.
  • Review and be knowledgeable of all aspects of AIA Policies to ensure compliance of the requirements. Address and discuss new policies as set forth by the AIA with the AD. 
  • Work with the Athletic Director in building a rapport & relationship with the Booster Club and attend monthly meetings. 
  • Assist with team registrations to validate all required paperwork is complete.
  • Perform any other job-related tasks deemed necessary and/or assigned by the Principal and/or the Athletic Director.

 

Required education, knowledge, skills, and abilities to perform essential job functions

  • Must have a Bachelor’s Degree with 3 years of coaching experience
  • Must be able to work evenings and weekends
  • Strong computer literacy skills
  • Supports philosophy, mission & policies/procedures of the school
  • Supports and encourages multi-sport athletic participation
  • Must have knowledge of bylaws and policies/procedures set by the Arizona Interscholastic Association and follow all regulations set therein
  • Must be able to complete moderately difficult physical tasks
  • Demonstrates problem solving skills; use good judgment in handling different personalities and emerging situations
  • Must have ability to observe and actively listen in assessing individual student and program needs
  • Must have proficiency in good communication skills with both students and adults
  • Must have knowledge and understanding of adolescent development and psychology

Purpose and Scope:

Under the supervision of the Principal and the Athletic Director, the Head Coach helps to coordinate and administer the sport for which she/he is responsible within the guidelines, rules, and regulations of the National Federation of High Schools, the Arizona Interscholastic Association, the Diocese of Phoenix, the school, the Athletic Department, and the specific sport. This is all done within the policies and procedures of the Athletic Department and the specific conference in which the school participates.

 

Essential Job Functions:

  • Instructs athletes in the fundamental skills, strategy, and training necessary to achieve individual and team success while promoting the Pursuing Victory with Honor Program as well as maintaining discipline, handling grievances, and working to increase morale and cooperation. 
  • Establishes the fundamental philosophy, skills, and techniques to be taught by her/his staff and supervises and assists in evaluating the performance of this staff and the overall functioning of the specific sport’s program.
  • Assists the Athletic Director in finding and retaining coaches in her/his sport, scheduling athletic contests in the sport, promoting the sport among the school community and the public at large, and making changes and enhancements to the specific sport’s program at the school.  Emphasis placed on seeking and bringing new students to the school and football program.
  • Assures that the venue for her/his sport is safe and all equipment is within regulation, safe, properly maintained, and inventoried.
  • Assists in the coordination of the supervision of student-athletes in her/his sport’s program in all areas of play, locker rooms, and any other venue used by the sport.
  • Maintains appropriate and open communication with faculty, staff, and parents concerning the sport for which she/he is responsible; helps advise student-athletes concerning academics in conjunction with appropriate faculty and staff; assists in the process for college recruiting and scholarship applications in conjunction with the Athletic Director and guidance staff.
  • Complies with using FinalForms for athlete physicals, injury reports, and issuing equipment. 
  • Performs other job-related tasks deemed necessary or as requested by the Principal or the Athletic Director.

 

Minimum Qualification:

  • All head varsity coaches shall have a valid Arizona Teaching Certificate, or Arizona Coaching Certificate, or have completed the National Federation of State High School Associations Level I Certification online at https://nfhslearn.com within forty-five (45) days from the date of hire.

  • Must meet Diocese of Phoenix requirements for employment

  • Received Safe Environment Training and signed the Code of Conduct 

  • Fingerprint clearance completed

  • Having a current Arizona State driver’s license is desirable.

  • Must be in good physical condition. Must have initiative, creativity, problem-solving skills, good judgment in handling different personalities and emerging situations, a sense of humor, the ability to actively listen in assessing individual students, teacher, and program needs, proficiency in good communication skills with both children and adults, a positive attitude in normal and crises, the ability to work cooperatively with others, and the ability to delegate. OCCUPATIONAL CONDITION:

Medium risk - Work is routinely performed in outdoor environments, including exposure to noise and being on your feet for extended periods of time. Requires standing in inclement weather including summer heat.

 

QUALIFICATIONS:

  • Previous successful coaching experience in the assigned sport.
  • Valid Arizona teacher certification, or Arizona coaching certification, or Level 1 Certification issued by National Federation of High School Associations (NFHS) (This requirement is only for Head/Varsity positions)
  • Obtain and maintain a valid Arizona Identity Verified Prints (IVP) Fingerprint Clearance Card (AZ IVP FPCC).
  • Obtain and maintain First Aid/CPR certification.
  • Completion of NFHS online education course entitled “Fundamentals of Coaching”. Course.

  • Obtain and maintain a valid Arizona Identity Verified Prints (IVP) Fingerprint Clearance Card (AZ IVP FPCC).
  • Obtain and maintain First Aid/CPR certification.
